Digital Dictation System is a multi-line telephone dictation and transcription system. Dictation is recorded over telephone lines and stored on a computer hard drive as compact voice files. The voice files are then accessible for transcription. The system is a reliable alternative to expensive dictation systems. Anyone who has used voice mail or other dictation systems will feel familiar with this system.
The system allows dictation from any touch tone phone. Access to the system is granted by entering a unique code. The functions of the system are tailored for dictation and transcription.
The software for the system was created to run in a Microsoft Windows 2000 environment and was developed using the C/C++ development language.
Dictation Features
The system has similar features to other dictation systems such as those developed by Lanier or Dictaphone. The system has telephone keypad functions for recording, playing, rewinding and fast forwarding. Dictated jobs can be reviewed and edited before they are marked as completed and ready for transcription.
Transcription Features
Transcriptionists can access the system in much the same manner as those dictating. A remote transcribe station with foot pedal and headset is used to dial into the system. The foot pedal can then be used to navigate through voice files for playing, rewinding, and fast forwarding. Voice prompts provide information about the files being transcribed such and length, job number, author, percentage complete, and date dictated.
Hardware Overview
The system resides on a single computer. All hardware components are internal to the computer. There is no external equipment. All telephone lines plug directly into the back of the computer. This makes it compact and convenient for most any location.
Software Overview
Dictation System was developed as an easy-to-use software system. Anyone familiar with the Microsoft Windows environment will be comfortable with the system. Voice files can be viewed and searched using standard Windows functions. The only setup requirements are entering user codes for new users. There are not excessive numbers of configuration parameters to set up like some systems. The easy-to-use management of the dictation system is a great advantage. The system handles routine file management tasks such as purging of old files, constant display of system resources, and automatic handling of aborted or completed jobs. Digital Dictation vs. Analog Tapes
The advantages of digital dictation over tapes are numerous. One great advantage is that the system is accessible wherever there is a phone. For the transcriptionist, this means that dictation is available immediately after the dictation has been completed, regardless of where it was dictated. There is no need to deliver tapes to remote locations. And since the voice is available immediately, the turnaround time for receiving completed transcription can be greatly reduced.
